Optional Flexible Work Week for Staff Employees During Summer 2014
Johnson C. Smith University staff will have the option of working a four day workweek or a five day work week that includes four 9-hour days and one 4-hour day. The option to adopt a flexible work week schedule will begin Monday, May 19th and end on Friday, August 15th. Although employees will have the option of a flexible work schedule, the University will maintain its normal hours of operation during this period. We do not expect that this schedule will impact employee pay or the level of service extended to our customers.
General Guidelines
The decision to work a flexible work week schedule is entirely voluntary. Each division head has been asked to collaborate with managers and interested employees to develop a flexible work week schedule that meets the needs of the business unit, its customers and the University. Full-time employees will continue to work 40 hours per week. Depending on the needs of the department, employees may have the option of working four ten hour days or four nine hour days and one four hour day.
To ensure that hourly employees are able to clock in using their new schedule, we ask that supervisors provide an updated schedule to Ms. Deborah Frady in payroll by 4:00 pm Friday, May 23rd.
Special Guidelines for Vacation, Sick Leave and Holidays
During the period that employees are assigned to a flexible work week schedule, vacation, and sick leave requests for an entire work day will result in either nine or ten hours being subtracted from the employees’ leave balance.
Holiday leave is earned and paid based on an eight hour day. During the weeks of Memorial Day and Independence Day, non-exempt employees who have chosen the flexible work week may work up to 32 hours during the week. Alternatively, employees may elect to submit a vacation leave form for hours bringing their balance to 32 hours therefore bringing their pay for the week to 40 hours including the eight hour holiday.
We hope this flexible scheduling option allows you to spend quality time with your family and friends this summer. Since this is a new work arrangement for all of us, please contact Ms. Maudre’ Addison at extension 1228, or Latrelle McAllister at extension 1296, if you have questions about the administration of the Flexible Work Week schedule.
The Human Resources Staff
The Finance Office is asking all departments to ensure that they receive all invoices for services rendered or goods received prior to June 30, 2014.
If you cannot obtain an invoice, please ask the vendor to provide you with estimates so that the proper accruals can be made. We have to be diligent to capture all necessary expenses in the proper fiscal year.
Please remember that the University’s last check run will be on Wednesday, June 11, 2014. The final date to get purchase order requests in for this current fiscal year will be, Friday, June 13, 2014.
If you are paying deposits for conferences and such items that start immediately after the start of the new fiscal year, please note that this is not an expense of fiscal year 2013-2014, but it is an expense of fiscal year 2014-2015. If you are uncertain about the difference at this time, please give Mrs. Pam Harrell or Ms. Tolshea Adams a call in the Accounts Payable office. This is a critical distinction, and will have budgetary impact going forward.
We need to make every endeavor to capture all the outstanding invoices in the correct year. If you have any questions, please give me a call and I will respond accordingly.

This applies to the cafeteria, Burger King and Red Mango. As part of ongoing upgrades to the campus dining experience, the Faculty Dining Room (Laurene’s Too) is undergoing exciting changes. Therefore, we will announce that opening date and schedule in the near future.
